When I sold PL I kept spreadsheet on my PC. Then when I collected orders if I had multiples I would contact on of the people and let then know that item has been purchased. They had the option to pick out something else or just get a gift Cert. in place of that item. i updated my list every time I got new orders. What you can do is put a notation at the bottom of the list, if it is being passed out, stating that they can contact you to see what is still available to purchase.
